Printable Party Signs
What will guests need to find when they arrive: the right door, somewhere to leave bags, the drinks or the restroom? Start with those directions. Below are sign wording examples, blanks to print and fill in, and a separate host worksheet for the details you don’t need to display.
What should your party signs say?
Put one direction on each sign. “Bags and coats go here” tells guests more than a decorative station name. A welcome sign can include the birthday child’s name, but a direction sign needs to say where to go or what to do.
These examples are suggestions to adapt to your party:
| Sign | Example wording | Where to put it |
|---|---|---|
| Entrance | Welcome to __________’s party! Please use the side door. | At the entrance guests should use; add an arrow before a confusing turn. |
| Belongings | Bags and coats go here. | Beside the shelf, hooks or area you’ve set aside. |
| Gifts | Please leave gifts on this table. | On the gift table, if you need one. |
| Restroom | Restroom → | At the hallway turn; check the arrow before guests arrive. |
| Drinks | Drinks are here. | Beside the drinks, especially if they are away from the food. |
| Activity | Drawing table: help yourself to paper and markers. | On the table with the materials. |
| Pickup | Pickup is at __________ between __________ and __________. | At the departure area, using the time you agreed with families. |
| Take-home items | Please collect your bag and project before you leave. | Beside the belongings and finished projects. |
For families reading different languages, use the bilingual party sign guide to check wording and placement. A short phrase and a recognizable symbol can help, but check the translation in the context where it will appear.
At the food table, a sign saying “Snacks” identifies the area; it doesn’t describe each dish. Keep individual serving information with the dish using the printable food-label notes. For a game station, put the name and a short instruction beside the actual sheet from printable party games, with answers and setup notes on the helper copy.
Blank signs to fill in
Print these blanks for handwritten signs, or copy the wording into a document and give each sign its own page. The examples above are wording to adapt, not finished decorative designs. Print one test copy and read it from the place a guest will first see it before printing the rest.

For an overnight party, the printable sleepover checklist helps keep evening food, sleeping arrangements and breakfast jobs together. Add the relevant jobs here rather than trying to fit them onto a public pickup sign.
Keep guest messages separate from host notes
Guests usually need the date, time, address, food information, what to bring and pickup details. Host notes can hold the longer supply list, budget reminders, setup jobs and backup activity outside the group text.
Check your invitation planning notes before writing the entrance and pickup signs. If families were told to use the side door, the welcome sign should point there. If the finish time changes, tell families directly as well as changing the sign.
For an overnight visit, use the sleepover morning pickup plan to arrange breakfast, bag packing and departures before writing the pickup window. Keep exceptions beside the guest’s name on the host sheet.
When to prepare and update your signs
Use this preparation sequence as plans become clearer. If the party is closer, work through the steps in order rather than waiting for a particular day.
- Two weeks out: Record the date, time, place, guest list and budget. List the places guests will need to find and decide which need a sign.
- One week out: Update RSVPs, food notes and supplies. Confirm the arrival and pickup details with families, then draft the sign wording.
- The day before: Print a test sign, check it where it will go and prepare the remaining copies. Stage supplies by room and mark unfinished helper jobs.
- Party day: Check arrows, food labels and pickup details against the actual setup. Keep the host sheet nearby for food timing, cleanup and departures.
Keep each sheet with its job; the printable library helps you separate planning notes, guest messages and game sheets. If you have a gift table, keep a private gift-and-giver record for thank-you notes rather than adding it to the public gift sign.
Check your signs before guests arrive
Walk the route from the entrance to the party area, restroom and departure point. Check each sign where a guest will need to read it.
- Fill in every blank on the signs you will display.
- Check names, times and entrance instructions against the message families received.
- Put direction signs before turns and check that arrows point the right way.
- Read the signs from the place guests will first see them; enlarge unclear text.
- Put food labels beside the matching dishes and leave longer serving notes with the helping adult.
- Put activity instructions beside the game or craft materials.
- Keep contact numbers, RSVPs and individual arrangements on the private host copy.
- Leave the host sheet where helpers can find it, with supplies and jobs clearly recorded.
- Put bags, favors and finished projects where guests can collect them before leaving.
- Keep a spare copy of a sign that may be moved or covered.
Your checkmarks won’t be saved when you leave this page.
Questions about printing and using party signs
How should I use printable party signs?
Start with the directions guests need: where to enter, put belongings, find food or games, and collect their things. Fill in the blanks and put each sign where the instruction applies. Keep longer planning notes on your host copy.
Should I print the notes or keep them digital?
Print guest-facing signs and any setup notes you want beside the supplies. Keep a digital host copy if that is easier to update. Copy the blank fields into your own document if you want to type rather than write by hand.
What should I share with guests?
Share the date, time, address, food information, what to bring and pickup details. Display only the directions needed at each location. Keep RSVPs, phone numbers, individual food arrangements and helper jobs on the private host copy.
When should I update the signs and host notes?
Update host notes after RSVPs and shopping. Check sign wording the day before setup and again on party morning if the entrance, activity locations, food setup or pickup arrangements change.
What belongs on the host copy?
Include guest replies, sibling notes, contact numbers, food allergies or sensitivities, timing, supply locations, helper jobs, cleanup and pickup arrangements. Keep it somewhere the adults helping can find it.
Is there a downloadable sign design?
This page provides printable wording examples and blank planning sheets, rather than a separate downloadable design file. Print the page for handwritten notes, or copy the wording into your own document to arrange and enlarge it.
